Using the System Health Billing Dashboard to Detect and Troubleshoot Billing Issues

Zuora Billing System Health Dashboards contain key metrics on usage, performance, and failures of your Zuora products within the last 30 days. You can specify the time range, and subset of data, using the filters on each dashboard, and use the data retrieved to diagnose issues and take proactive actions. There are 4 Billing Dashboards: Bill Run, Presentment, Usage File Import, and Tax Integration.

Let’s look at the information contained in each dashboard first and then we will take a look at the dashboards together.

Zuora Bill Run System Health Dashboard

Zuora Bill Run System Health Dashboard collects and displays data about bill run usage, failures, and performance in near real time. Through the Bill Run dashboard, you can view data about all the bill runs in your Zuora tenant within the last 30 days. Long story short, you can use this dashboard to detect and troubleshoot bill run issues.

The key metrics we find in the bill run dashboard are below:

  • Billing Document Generation By Bill Run - This shows the number of documents, broken down by billing document type, per bill run. Billing documents include both invoices and credit memos.
  • Failed Accounts - This is the customer account associated with any failed invoices or credit memos, along with the corresponding bill run number. 
  • Batch Bill Run Duration - The duration of batch, or single account bill runs, that are executed within a specified time range.
  • Viewing Data - The Bill Run Dashboard contains a data summary section at the top of the page, and three tabs which allows users to view bill run summary data on usage, failures, and performance.
  • Data Summary - This section contains real-time data within the last 7 days, on Generated Invoices, Generated Credit memos, and Average Batch Bill Run Durations.
  • Overview Tab - This is the tab the bill run dashboard page opens to, and it contains billing document generation metrics.
  • Failures Tab - If an invoice or credit memo fails to generate, this is where we can find more information on the failure, customer account, and bill run. Some of the common failures you will see in Bill Run Dashboard include:
    • Internal System Error
    • User Visible Error
    • Pending For State Tax
  • Performance Tab - This tab contains metrics on bill run durations.

Zuora’s Presentment System Health Dashboard collects and displays data about billing document presentment usage, failures, and performance in near real time. Like all of the Dashboards, the Presentment Dashboard shows data over the last 30 days.

Here are some of the Key Metrics for this dashboard

  • Presentment Usage - The number of success and error billing document calls within the 30 day range.
  • Presentment Failures - The number of failed billing document calls over the same range. 
  • Presentment Performance - This is the amount of handling time for a given document over a specified time range.
  • Viewing Data is similar is similar in all 4 dashboards
  • Data Summary - At the top, the data summary tab contains the total file imports, and failed file imports over the last 7 days
  • Overview Tab - This is the “Home Tab” of the Presentment Dashboard.
  • Failures Tab - All of the Presentment failure metrics will be located on this tab.
  • Invalid Template - Invalid Template is the most common error category you will see on this dashboard along with the specific error messaging.
  • Performance Tab - And again, this tab contains metrics on presentment performance. 


Usage File Import System Health Dashboard

The Usage File Import System Health Dashboard collects and displays data about all the usage file imports within the last 30 days. It is also the best place to go for usage file import errors, and performance information which is near real-time. 

The Usage File Import Dashboard contains Key metrics as well.

  • Usage File Import - The number of usage file imports, including successful, failed, and under-processing.
  • Usage File Import Errors - The number of failed usage file imports within the given time range.
  • Usage File Import Performance - This is the Usage file import handling time. Please note, Usage file import handling time means the duration from the Submission Time, to the Completion Time of a usage file import.
  • Viewing Data -  The Usage File Import Dashboard has a data summary section located at the top, and a tab for usage, failures, and performance. 
  • Data Summary - This section contains real-time data within the last 7 days, on total file imports, and total file failed imports.
  • Overview Tab - The Usage File Import dashboard opens to this page which contains usage import metrics.
  • Failures Tab - This tab is where we can find information related to failed uploads, and the best location to download detailed usage error messages. There are many reasons a usage file upload can fail, and those reasons will be listed on the failures tab. Common reasons are
    • Issues around quantities and units of measurements
    • Invalid Subscription ID
    • Date formatting issues
  • Performance Tab - All of the performance metrics associated with usage file imports will be located here.


Tax Integration System Health Dashboard

The Tax Integration System Health Dashboard collects and displays data about usage, performance, and errors in the integrations between Zuora and 3rd party tax vendors. This real time dashboard includes data within the last 30 days. 

Here are the metrics for this dashboard.

  • Tax Integration Usage - This is the number of successful and error calls to a third party tax vendor
  • Tax Integration Errors - The number of failed calls within a given time frame.
  • Tax Integration Performance - The tax call handling time for a given vendor during a specified period.
  • Viewing Data - The Tax Integration Dashboard has a similar configuration as the other three dashboards with a data summary section and three tabs. 
  • Data Summary - The data summary contains the total tax transactions, total failures, and average tax transaction durations over the past 7 days.
  • Overview Tab - This is the home tab for this and each of the other dashboards
  • Failures Tab - This tab contains all the error metrics.
  • Vendor Request and Vendor Response - Key pieces of information to resolve tax issues are the vendor request and vendor response. Both of these can be located on the failures tab.
  • Performance Tab - And of course we have a performance tab which allows users to monitor performance over the last 30 days.
